Privacy Policy

The short version
Botzilla stores Discord IDs, your server's settings, the things you save on purpose (reminders, notes, AFK messages), and simple per-member counts for games and counting. It doesn't save your chat messages and doesn't record voice or video. Some commands send your search or the text you ask it to translate to an outside service.
01Introduction
This Privacy Policy explains what information Botzilla ("we", "us", or "our") collects when you use the Botzilla Discord application and website, how it is used, and how we protect it.
02Information we do not collect
Botzilla does not collect or store:
- The text of your messages. Some features read messages as they arrive so they can work: counting checks the number you typed, media-only channels check for an attachment, the honeypot reacts to posts in its trap channel, and AFK watches for mentions. The bot acts on the message and moves on. It keeps message IDs and the counts listed in section 03, never the text.
- Personal details. We don't ask for or store your real name, email address, home address, phone number or passwords.
- Payment details. Botzilla is free and never handles card or bank details.
- Voice or video. We don't record, listen to or keep voice channel audio or video. Join-to-create only manages the channel itself.
03Information we collect and store
We store what a feature needs to keep working after the bot restarts, and nothing for advertising or profiling:
- Discord IDs
- User, server, channel, role and message IDs. These are the numbers Discord uses to tell accounts and channels apart. We use them to know which server a setting belongs to and who owns a reminder, note, game or voice room.
- Things you save on purpose
- Reminders (
/utility reminder add: title, text, time and channel), notes (/utility notes add: title and text), your AFK message (/afk, removed when your AFK is cleared), and custom hydration messages written by server staff. - Server settings
- Configuration for counting, join-to-create, the honeypot, media-only channels, hydration reminders, the Welcomer (channels, auto-role, message wording and card text color), role lock groups, and daily NASA picture-of-the-day and word-of-the-day posts (which channel they go to), set by the server's staff. Welcome card backgrounds that staff upload are kept as image files on the bot's host (see section 07).
- Per-member stats
- Counts tied to your user ID in a server: correct and wrong counts, milestones and highest number in counting, plus a record of each streak you broke (the number, the reason and when); wins, losses and ties in Tic-Tac-Toe and Rock-Paper-Scissors, including head-to-head records against each opponent; how many times you've used each roleplay action on another member; which role you're locked to in each of the server's role lock groups; and, for the honeypot, how many times it has acted against an account and when.
- Things that are running
- Games in progress and active join-to-create voice rooms are saved so they survive a restart. They're deleted when the game ends or the room closes. Unfinished games are cleared after 7 days.
- Logs
- When Botzilla joins or leaves a server, we log the server's name and ID and the owner's username and ID. When a command fails, the error log records the command, your username and ID, and the error. These log files are kept on the bot's host, used only to fix problems, and deleted automatically after 90 days. Join and leave notices (server name and ID, owner's display name and member count) are also posted to a log channel in our support server. Those notices aren't deleted automatically. Ask in the support server and we'll remove the ones about your server.
Planned features will store more: leveling will keep XP per member, and the moderation and audit-log modules will keep warnings and copies of edited or deleted messages in the server's log channel. This policy will be updated before they launch.
04Processed, not stored
These commands use your input once and keep nothing in our database:
- Calculator (
/utility calc): worked out in memory and discarded. - Translation: the message you choose to translate is sent to Google Translate, or to MyMemory if Google doesn't respond, and the result is shown in Discord. We don't save it, but those services receive the text.
- Lookups and search: words, search terms and QR code text are sent to the service that answers them (see section 05) and are not saved by us.
- Welcome cards: when someone joins a server that uses the Welcomer, their avatar, display name and member number are drawn onto a picture that's posted in the welcome channel. We don't keep a copy.
05Third-party APIs and services
When you run certain commands, Botzilla asks an outside service for the answer:
- Translation: Google Translate and MyMemory receive the text being translated.
- Search and reference: DuckDuckGo, Wikipedia and Wiktionary, Free Dictionary API, Urban Dictionary and Datamuse receive the word or search term.
- Space: NASA, The Space Devs, Open Notify, NOAA's Space Weather Prediction Center and the NASA Exoplanet Archive. No user data is sent.
- Media: Reddit (public posts), nekos.best (roleplay GIFs), YesNo.wtf (answer GIFs) and QR Server (receives the text you turn into a QR code).
- Jokes and animal pictures: JokeAPI, icanhazdadjoke, chucknorris.io and the Official Joke API for jokes. TheCatAPI, TheDogAPI, Dog CEO, random.dog, Cat as a service, RandomFox, random-d.uk, bunnies.io, Some Random API, TinyFox, AlexFlipnote, racc.lol, capy.lol, catfact.ninja, meowfacts and Dog API for photos and facts. No user data is sent.
- Spotify: Botzilla reads the Spotify activity that Discord already shows on your profile. It doesn't connect to your Spotify account. Album art loads from Spotify's image servers.
These requests carry only what the command needs, such as the search term or the text to translate. They don't include your Discord username or ID. Each service handles requests under its own privacy policy.
06This website
Logging in. If you log in here with Discord, Discord tells us your user ID, username, display name and avatar. We keep those in a signed cookie called botzilla_session in your browser so you stay logged in for up to 30 days. The cookie is not copied into our database, and logging out deletes it.
Your server list. The Discord login screen lists a "servers" permission. We use it to show, on the dashboard, the servers you own or can manage, so you can add Botzilla to them. We keep only each server's ID, name and icon, in the website's memory, for up to one hour. It is never written to our database, and logging out or a restart clears it.
Other cookies. While you log in, a cookie called botzilla_oauth_state holds a random value for up to 10 minutes so the login can't be started by another site. We don't use advertising or analytics cookies.
Outside requests from your browser. The home page shows the developer's public Discord profile. To do that, your browser loads it directly from Discord (discord.com, cdn.discordapp.com) and from Lanyard (api.lanyard.rest). Like any site you visit, those services can see your IP address. Fonts and other files are served from this site.
07Data storage and security
Stored data lives in a MySQL database that only the bot can reach, using a password kept outside the code. The one exception is welcome card backgrounds uploaded by server staff: they're saved as image files in a folder for that server on the bot's host. No system is perfectly secure, but we keep access limited to the bot and the developer.
08Your rights and deletion
You can remove some data yourself, and ask us to remove the rest:
- Reminders:
/utility reminder deleteremoves a reminder for good. - Notes:
/utility notes deleteremoves a saved note. - AFK message: deleted as soon as your AFK status is cleared.
- Welcome card backgrounds: removing an upload in
/welcomer settingsdeletes the file from the host. - Everything else: to have all records tied to your Discord user ID or server ID deleted (stats, settings, logs), ask in our support server. We'll handle it within 30 days.
09Children's privacy
In line with Discord's Terms of Service, Botzilla is not meant for anyone under 13 (or under the minimum legal age for digital consent where you live). We do not knowingly collect or ask for data from children under 13.
10Changes to this Privacy Policy
We may revise this Privacy Policy when we add features or the law requires it. Material updates will be posted here with a new "Last revised" date.
